FAUN EVENTS undertakes via its FAUNTASTIC.EU site to comply with the regulations in force applicable to the processing of personal data and in particular, Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 applicable from 25 May 2018 (hereinafter, “the European Data Protection Regulation” or RGPD).

Simply consulting the Site does not require registration or prior identification. It can be carried out without you providing any personal data about yourself (surname, first name, address, etc). FAUN EVENTS does not record any personal data simply for consulting the Site.

By browsing our website or using our systems or services, you acknowledge that you have read and understood this policy and consent to the processing of your personal data and information in accordance with this policy, where applicable.

Article 1: Purpose of personal data collection

Personal data is collected in accordance with the purposes and objectives set out in this privacy policy.

The personal data collected is also used for anonymous consultation statistics.

Whether the member wishes to try to secure a place to hold a conference
Whether the member would like to interview to join the event’s volunteer teams

The following may also be requested (in the case of orders placed on the site):

Physical contact details
Bank details (e.g. RIB)
T-shirt size for goodies
Type of room required and number of tickets
Type of goods required and quantity

Article 3: Purpose of processing

All data collected is processed for the purpose of enabling FAUN EVENTS to :

create a member space for the member on the site
give the member access to his/her profile and orders
allow the member to consult the follow-up of his/her orders
provide access to its services
contact the member in connection with the services offered by FAUN EVENTS
communicate with the member in relation to the products ordered

In addition:

Data on dietary requirements will enable us to make the necessary requests to establishments in order to respect the needs of each individual during conventions.
Data on the willingness to wear suits will enable us to assess the amount of space required for them at conventions
Data on public transport will enable us to suggest possible routes and schedules for shuttles.
Bank details are only used for online payment of products purchased.

FAUN EVENTS also processes data for the purposes of contacting you by e-mail and sending you e-mail alerts, in order to provide you with the information required for the proper performance of services, product delivery, follow-up of requests and orders, requests for retraction or modifications. All personal data will be used to manage the contract between the MEMBER or PARTICIPANT, the FAUN EVENTS association and direct partners in order to organize the event. Personal data will be supplied to our direct partners (hotel, restaurant, etc.) in order to best meet the needs of each individual and to insure FAUN EVENTS against any individual damage. Data is also collected to meet obligations arising from laws, regulations or international treaties.

Article 4: Newsletters

This data corresponds to the data provided when subscribing to one or more newsletters from our site: e-mail, username, surname and first names.

All this data is processed in order to allow the MEMBER :

be contacted by our services using communication tools
be kept informed of the latest convention news
be kept informed of the latest products available

This personal data may also be used by FAUN EVENTS for promotional information or events.

Article 5: Rights of the person concerned

In accordance with the French law “Informatique et Libertés” of January 6th 1978, modified by the law of August 6th 2004, the user has the right to access and modify information concerning him/her. Customers, members and subscribers of FAUN EVENTS have the right to access and rectify data concerning them. These rights can be exercised by accessing the user profile to modify personal information.

A member may also request the complete transmission of all data collected and/or the complete deletion or modification of such data by contacting us by e-mail at the following address: contact@fauntastic.eu

Article 6: Retention periods for collected data

The above-mentioned personal data will be kept for as long as is necessary to process orders, including the warranty. This data will be kept for a maximum of 12 months or in accordance with topical legal requirements. The data will then be deleted from the site and any invoices physically archived for 5 to 10 years, depending on the nature of the document.

FAUN EVENTS keeps the data collected for different periods of time, depending on its nature and its usefulness in offering our products and services. During the retention period, FAUN EVENTS takes physical and technical measures to ensure the security of data containing personal information.

Once the retention period has expired, personal information is destroyed. Only statistics or reports containing de-identified and anonymized data may be retained for extended periods of time.

Article 7: Liability
FAUN EVENTS declines all responsibility in the event of voluntary or involuntary transmission by the user to a third party of access codes or passwords which it is the user’s responsibility to keep in a safe place and whose use by a third party could lead to the disclosure, alteration or deletion of the user’s personal data.

FAUN EVENTS undertakes to guarantee the confidentiality of personal data and to ensure that persons authorized to process personal data:

Undertake to respect confidentiality or are subject to an appropriate legal obligation of confidentiality.
Receive the necessary training in personal data protection.
Take into account the principles of data protection by default.

Article 8: Data security
In addition, FAUN EVENTS has entrusted the hosting of its site(s) to the company OVH to ensure the security of the personal data entrusted by its customers and members.

Our MEMBERS’ data is stored exclusively in France or in the European Union.

The servers we use are located in data centers certified for information security ISO 27001, and PCI SSC for the storage and processing of credit card data.

The hardware and software infrastructure on which our sites are hosted is designed to guarantee optimum data security.

An SSL certificate has been installed to ensure the confidentiality of data circulating between the customer and our infrastructure.

A strong password policy has also been implemented to prevent unauthorized access.On some of our services it will also be possible to use a double authentication system known as 2FA.

Article 9: Cookies
“The term “cookie” is a generic term that designates both a text file deposited in a dedicated space on the hard disk of your terminal (computer, tablet, cell phone or any other device optimized for the Internet), when consulting online content or advertising, and similar technologies enabling information to be read from or written to a user’s terminal and to track, in combination with the use of cookies, their activity on the Internet or in an application.
